Most of what gets thrown out was still working.

Home mechanical equipment gets replaced early, and covered parts get paid for twice, for a reason that has nothing to do with the equipment. Nobody can find the paperwork.

The problem is a filing problem

A furnace, a water heater, a heat pump and an air conditioner are among the most expensive things in a house and the most likely to fail without warning. Almost none of them have a record. The install date is on a sticker that peels. The warranty registration went to an address the owner has since moved from. The invoice is in a drawer, or with a contractor who has retired, or gone.

So when something goes wrong, the decision gets made without the two facts that matter most: how old it actually is, and whether it is still covered.

A part replaced because nobody could find the paperwork is a part that did not need replacing.

What happens without a record

  1. The age is guessed. Without an install date, a system is aged from how it looks and how it sounds. Guessing high means replacing something with life left in it. Guessing low means being surprised by a failure that was predictable.
  2. The warranty goes unclaimed. Manufacturer parts warranties on residential equipment commonly run for years, and claiming one generally requires proof of the installation date. No proof, no claim. The homeowner buys a part they had already paid for, and a part that a manufacturer would have replaced goes in the bin instead.
  3. Service history restarts every time. A technician who has never seen the unit diagnoses from scratch. The intermittent fault that three people have now looked at gets looked at a fourth time, because nobody knows what the first three ruled out.
  4. The whole unit goes when a part would have done. A replacement is easier to justify than a repair when nobody can say what has already been done to it. That is the expensive version for the owner and the wasteful version for everything else.
  5. Efficiency drifts quietly. Filters, coils and service intervals are the difference between a unit running as designed and one working harder for the same result. Nothing forces that to be tracked, so mostly it is not.

What a record changes

None of the above is a technology problem. It is an absence of a durable, portable, verifiable record of what is in a building and what has been done to it. That is the only thing Asset History Report does.

With one in place, a system is replaced when there is a reason rather than when nobody could establish one. A covered part gets claimed rather than bought twice. A technician arrives knowing what has already been tried. And the history survives the contractor retiring, the owner selling, and the paperwork getting lost, which is normally the moment all of it disappears.

Longer life and better efficiency are not automatically the same goal

They pull against each other, and it is worth saying so plainly. An older blower motor draws more power than a modern one. A twenty year old furnace kept running is not environmentally better than a new one in every case. The point is not to keep everything forever. It is to make the decision on evidence instead of on a guess, so that what gets replaced is replaced because it should be, and what does not is not.

Why this matters beyond one house

Efficiency programmes, rebates and retrofit funding are all built on an assumption that what was installed is what is running, and that it is being maintained.
